TOWN OF COLEBROOK, NEW HAMPSHIRE CEMETERY TRUSTEES MEETING
May 4, 2004
Meeting called to order at 3:00pm by Sally S. Wentzell.
Trustees Present: Sally S. Wentzell, Jean K. Haynes, Sheldon A. Gray, and Irene Bean after the meeting began.
Public Present: Roland Martin, Sexton, David R. Hodge, Lawrence R. Pryor, and Claire Lynch from the News & Sentinel.
Sally did the minutes, as Irene was not here when the meeting began. Next meeting they will be taken by Irene.
The manifests for May 4, 2004 were approved and signed by Trustees.
David R. Hodge came in to explain the placement of the remaining cemetery fence. One would be at the edge of Roger and Beth Young’s lot. The other would be nearer the road and would be more costly. Trustees will go up after the meeting to look at the site.
Mr. Lemieux requested that the fence be checked to make sure it has not moved during the winter due to frost. David will do this in the near future. He is also going to place self-taping screws on the post brackets.
Larry Pryor came in, in reference to winter/spring burials. He was upset about two committals being made before the official opening of the cemetery and wanted to clarify the policy. The Board of Trustees told him that they had made an error and understood his concerns. They informed him that as of May 1, 2004 cremation committals could be made, but full burials, could not be made until the official opening date of May 15, 2004. The Trustees thanked him for coming in and bringing the matter to their attention.
The by-laws of the Colebrook Cemeteries will be revised to clarify the winter burial section and when they are approved by the Trustees, a copy will be sent to his attention.
Letters will be sent to both Funeral Homes to inform them of the action taken by the board regarding burial policies.
Roland did not feel that the walk behind mower was what was needed. He stated that due to his leg he felt a riding mower should be purchased. Sally informed them that the walk behind mower has already been ordered. The Trustees said they would discuss this matter later.
The Trustees gave Roland authority to start cleaning the cemetery on Monday, May 10, 2004.

A letter was received from Aline Burnell, which authorized the burial of Paul Burnell in the Furman lot. Copies were given to all Trustees and the Sexton. Sally informed Roland that committal was on Saturday, May 8, 2004 at noon.
The CDDA mentioned that they would like a section of the fence to cover up the little alleyway between the Williams building and the Golden Locks building. The board had no problem with the CDDA finding a section of fence that they wanted.
Earley and Lynch Rubbish services will be contacted to see what a dumpster will cost to have placed on site for the spring cleaning. No future disposals are to be placed in the dump hole at the cemetery. Roland was informed that he was not to put any more rubbish in that location. Sheldon will go up and see what can be done to close the area.
Someone from Eric Stohl’s family had requested permission to plant a flowering crab tree on their lot. The Trustees have given permission for them to do this if they wish.
Mr. & Mrs. Barr have been contacted by Sally and informed that payment for the fence will need to be sent before they remove the ten (10) sections of fence they want from the piles. Roland must be on site and they cannot remove sections until May 16, 2004.
Ads will be placed in both newspapers referencing the sale of the old cemetery fence. It will be $50.00 per section, and it must be taken from the piles as they are stalked and will not be available until May 16, 2004 when the cemetery is officially opened and Roland is there.
Sally requested that she be allowed to contact Craig Boire to see if he would be interested in trimming the hedge at the Reed Cemetery, and if so, what it would cost for trimming and cleaning up the trimmings. The request was approved by the Trustees.
A motion was made by Sheldon, and seconded by Jean, to go into Executive Session to discuss a personnel policy issue. Motion approved by the board.

The discussion had been about employing another part-time worker due to Roland’s health. It was the decision of the board to run advertisements in both papers. The last date to apply will be May 21, 2004. The Trustees will meet at 2:30pm on May 25, 2004 to do interviews for employment.
Mr. Lemieux will be contacted to see what he anticipates the date for the delivery on the fence sections will be.
Next regular meeting date will be June 1, 2004.
A birthday card was signed by the Trustees and Roland for Bernie, as today is his birthday.

At 5:30pm a motion was made by Sheldon, and seconded by Irene, to adjourn the meeting. It was passed by a full board and the Trustees left to view the fence and dump areas at the cemetery.
